Is getting contracts and tax forms signed a hassle? E-signatures without the high price
You don't need a pricey subscription to get a few documents signed. With YCL e-signatures, each signer gets a private link and signs on a phone, with no account or app. Spouses sign separately, and every finished document carries a completion certificate with time, IP, device and a SHA-256 fingerprint. It's a low monthly cost. Form 8879 is the exception: it's signed in person, or printed, signed by hand and uploaded.
- No account
- Signers don't create an account or download an app. They open a link on a phone or computer.
- One link each
- Every signer gets a private link. Spouses sign separately and can't touch each other's fields.
- SHA-256
- The completion certificate records signing time, IP, device and the document fingerprint
- 8879
- Signed electronically in person, or printed, signed by hand and uploaded as a photo or scan
At a glance
- Signers need no account and no app. They open a private link, even from a phone overseas.
- Signature fields are placed automatically, and signers are walked through one at a time ("Start, Next, Finish"). A missed field blocks submission.
- Each spouse gets a separate link and signs only their own fields. Can't write a signature? Type your name and pick a font.
- Every finished document carries a completion certificate (time, IP, device, SHA-256 fingerprint) and is accepted only after the firm reviews it.
- Remote e-signing of Form 8879 requires identity verification (KBA), which the system doesn't have, so 8879 is signed in person or printed, signed and uploaded.
Are electronic signatures legally valid in the U.S.?
Generally, yes. The federal ESIGN Act and the Uniform Electronic Transactions Act (UETA), adopted by most states, say a signature can't be denied legal effect just because it's electronic. Business contracts, leases, engagement letters and service agreements can usually be signed electronically.
Two caveats:
- A few documents are excluded. Wills and certain family-law documents, for example, have their own requirements and can't simply be e-signed. If you're unsure, ask an attorney or ask us.
- IRS forms follow IRS rules. Whether a form can be e-signed, and what has to happen first, varies by form. The rules for Form 8879, the one most taxpayers sign, are below.
Why is it so hard to get a client to sign something?
The signature isn't the hard part. Printing, scanning, finding the right line, getting two people to sign separately, and paying for e-signature software are.
Here's what we run into every tax season:
- Clients overseas have no printer or scanner and have to find a print shop for one page.
- Older clients can't read the English form, don't know where to sign, and miss a line.
- Couples sign in each other's spot, or one spouse signs both names.
- Signature boxes have to be dragged into place one by one, and one mistake means resending the whole packet.
- E-signature services are expensive. They charge by the month and by the user, so a small business, landlord or small practice that signs a handful of documents still pays for a full subscription.
How does YCL e-signature solve this?
Every signer gets a private link, signature fields are placed for them, and they're walked through one field at a time. When they finish, the signatures are applied, a completion certificate is attached and the firm reviews it before filing it away.
- No account, no app: signers open a private link on a phone or computer. Send it by email, text, WhatsApp or WeChat, or show a QR code.
- One field at a time: signers first read and accept the electronic records and signature disclosure, then go "Start, Next, Finish." A missed field blocks submission. They can also decline, or choose "sign later."
- Signature options: type a name and pick a font, or draw with a finger or mouse. After adopting it once, each field is a single tap, and the date fills in automatically.
- Spouses sign separately: each person has a link and a color. The other person's fields are grayed out and can't be clicked.
- Language: the signing page switches between Chinese, English and Spanish.
- Rather sign on paper? Download the PDF with yellow markers and the print-and-sign instructions, sign by hand, then upload a photo or scan (multiple pages are fine). The firm accepts it or asks for a retake.
- Sign in person: sign on the firm's device. Staff first check a government-issued photo ID, and the system records which staff member checked it and when.
- Proof when it's done: signatures are stamped on the original, every page gets the envelope number, and a completion certificate is added at the end. It shows consent time, signing time, IP, device, signature method, the event history, and SHA-256 fingerprints of the original and signed files.
Steps from top to bottom.
| Step | What happens | Notes |
|---|---|---|
| 1. Upload | The firm uploads the PDF | Signature lines are detected and fields placed automatically |
| 2. Send links | Each signer receives a private link | Email, text, WhatsApp, WeChat or QR code |
| 3. Sign online | The signer opens the link and goes Start, Next, Finish | No account needed; spouses sign separately |
| 4. Can't sign online | Print, sign by hand and upload a photo | Or sign in person at the firm |
| 5. Finish | Signatures are applied and a completion certificate is attached | Certificate shows time, IP, device, SHA-256 fingerprint; the firm reviews it before accepting |
Can Form 8879 be e-signed remotely?
Not through our system, at least not today. IRS Publication 1345 requires identity verification, such as knowledge-based authentication (KBA), before a taxpayer remotely e-signs Form 8879, with each spouse verified separately. Our system doesn't have KBA. So Form 8879 goes one of two compliant ways:
- E-sign in person at the firm: staff check a government-issued photo ID (driver's license, state ID, passport and so on), and the system records who checked it and when.
- Print, sign by hand and upload: the client prints the 8879, signs it in ink and uploads a photo or scan. A handwritten signature that comes back by mail, fax, email or upload isn't a remote electronic signature, so KBA doesn't apply.
Read from the top; follow the first row that fits.
| Your situation | How to sign |
|---|---|
| Not Form 8879 (or 8878): ordinary documents such as contracts and engagement letters | Sign online through a private link |
| Form 8879 (or 8878), and the client can come to the office | E-sign in person after a photo ID check |
| Form 8879 (or 8878), and the client can't come to the office | Print, sign by hand, upload a photo or scan; the firm accepts it |
| Remote e-signing of Form 8879 | Not offered: it requires KBA identity verification, which the system doesn't have |

Other e-signature services are expensive. What does YCL charge?
A low monthly fee, built for small businesses, landlords, families and small practices that sign anywhere from a few to a few dozen documents a month. The exact fee depends on how many documents you send and how many people use it, so ask us.
The reason we offer this is simple. YCL is a CPA firm. Every tax season we need clients to sign Form 8879, engagement letters and service agreements, so we know firsthand how hard signing is and how much the software costs. We built this signing process for our own clients first, and we now offer it on the same terms to other small businesses and fellow practitioners.
Key rules at a glance

Common mistakes
"An e-signature doesn't count. Real documents need ink."
Under the ESIGN Act and most states' UETA, an electronic signature generally has the same effect as a handwritten one. Wills and a few other documents are excluded, and IRS forms follow IRS rules.
"I can sign Form 8879 from home by clicking a link."
Remote e-signing of Form 8879 requires KBA identity verification first, and our system doesn't have it. Sign 8879 in person at the office, or print it, sign by hand and upload it.
"It's fine if one spouse signs both names."
Each person signs their own name. Our system gives each spouse a separate link and separate fields.
"I got a signing link, so I'll just click and sign."
First make sure it's from a firm you know. If in doubt, call the firm at the number you already have. Our signing page never asks for your bank account number or password.
What are the ways to sign?
All three work, fastest first. Form 8879 must use one of the last two.
- Option A: Sign online (fastest). Open your private link and follow the prompts, typing or drawing your signature. This is the usual route for contracts, leases, engagement letters and service agreements.
- Option B: Print, sign by hand and upload. Download the PDF with yellow markers, print it, sign in ink, and upload a phone photo or scan. Works for Form 8879.
- Option C: Sign in person at the office. Sign on the firm's device after staff check your photo ID. Also works for Form 8879.
- Paper by mail, fax or drop-off: firm staff can scan and upload it so it lands in the same record.
For accounting and tax practices: using YCL e-signature
In tax season the time sink often isn't preparing the return. It's chasing signatures. This signing process was built around how a tax practice actually works. Here's what fellow practitioners ask us most.
Do I have to drag signature boxes into place?
No. Signature lines on common forms are detected and fields placed automatically. That includes the full Form 8879 family (including entity versions such as 8879-S and 8879-PE, with officer title), 8878, 2848, 8821, 8453, and letter-style "Client / Taxpayer / Spouse signature" lines. Taxpayer and spouse names are read straight off Form 8879. Upload the full return with the 8879 and fields go only on the authorization page. Any position you adjust is remembered.
What if a client gets one field wrong?
Send back just those fields. Mark the fields to redo, the client re-signs only those, nothing gets resent in full, and the earlier version stays in the audit trail.
What else saves time?
- Combine one or more PDFs into a single envelope
- Signing order, CC recipients, automatic reminders and expiration dates
- Template library, plus bulk send: one document to many clients, each with their own envelope and certificate (some features depend on the plan)
- Share signing links from your own email, text, WhatsApp or WeChat, or by QR code
How is Form 8879 handled?
Remote e-signing of Form 8879 requires KBA identity verification, which the system doesn't have, so don't have clients e-sign 8879 from home. Have them e-sign in person at your office (staff confirm they checked a government-issued photo ID, and the system records who and when), or print, sign by hand and upload a photo or scan. Paper that arrives by mail, fax or drop-off can be scanned and uploaded by staff.
